We’re Hiring An Administrative & Bookkeeping Assistant!

Are you a little obsessive about every detail, and do you get a thrill of satisfaction when the numbers all add up? We are looking for a friendly, out-going and well organized administrative and bookkeeping assistant who can juggle multiple projects with superb accuracy without losing their sense of humour. The ideal candidate has strong administrative, problem solving and member service skills. This is a .6 position with the flexibility of working three full days or five half days per week (4.5 hours). You will report to the Executive Director.

Position: Administrative & Bookkeeping Assistant

Organization: Organic Alberta Location: Edmonton

Duties and Responsibilities:

General Admin Support, such as:

  • Support Organic Alberta staff with clerical tasks
  • Answering telephones and connecting callers with the appropriate information and/or people
  • Technical computer and software support
  • Monitoring and inventory of book sales
  • Creating meeting agendas and taking notes
  • Light office cleaning (vacuuming, dusting, dishes)
  • Other activities as needed to support the Organic Alberta staff and programs
  • Ordering of office supplies
  • Tracking of Vacation and Sick Days
  • Collection of monthly Timesheets

General Membership & Advertising Support, such as:

  • Contacting members for renewal of memberships and advertisements
  • Tracking of purchased advertisements
  • Updating of Insightly database to reflect current memberships

General Day to Day Bookkeeping Support, such as:

  • Processing of accounts receivable and payable
  • Supporting of payroll
  • Assisting staff in completing expense claims
  • Assisting in preparation of financial reports
  • Tracking of supplier contracts for various projects
  • Responsible for bank deposits
  • Payment of bills and processing of cheques
  • Monitor PayPal and Online Event Ticket Payments
  • Completing month end reconciliation
  • Completing month end journal entries
  • Updating program expense budgets
  • Other tasks as required
